Guideline for SharePoint Sites Migrated from Local File Shares

This document outlines the access and security framework for SharePoint sites that have been migrated from local file shares, such as the O: drive. It is intended to clarify that, despite the change in platform, the access model remains unchanged and continues to enforce strict departmental data access controls.

Access Control and Permissions

  • Each SharePoint site migrated from a file share (e.g., O: drive) is configured to use the same Active Directory (AD) group-based permissions that governed access to the original location.
  • Only users who were previously granted access to the O: drive location (via departmental AD groups) will have access to the corresponding SharePoint site or library.
  • The SharePoint platform simply offers a cloud-based alternative to the file server. It does not alter who can view, edit, or manage the files.

Link Access and Security

  • Although SharePoint files and folders may be accessed through direct links, these links do not bypass the existing permission model.
  • Users must still be authenticated and authorized through their Kean University credentials, and must be part of the appropriate AD group to gain access.
  • Unauthorized users who receive a link will be denied access unless their AD group membership includes the relevant SharePoint permissions.

Consistency with Legacy File Shares

  • Access control mechanisms on SharePoint replicate the same security model previously used on the local file shares.
  • This includes read/write privileges, role-based restrictions, and the use of AD groups to enforce access boundaries between departments or units.

Ongoing Management

  • Departmental managers or data owners are responsible for reviewing group memberships to ensure appropriate access levels are maintained.
  • Requests to add or remove users must be submitted through the standard IT access request process, ensuring compliance with Kean University’s security policies.
